Specification Sheet Feature

Overview:

When Highland wins a bid for a large amount of product from a client, the client requests the specification sheets of that product. Previously specification sheets were inaccessible and hard to produce in a timely manner. It became my responsibility to create a feature that allows for clients, and the sales team, to find specification sheets through a digital platform.

Created a system that allowed for institutional bids to be won easier and remove this task from the purchasing department.

Heuristic Analysis 

The database of specification sheets contains specification sheets that are inconsistent in their layout of information.

Discovery Phase:

Interviews

Interviews with people within Highland that manage the spec sheets and pass them along to clients brought out the necessary features.

Below are the highlight insights:

  • List needs the nutritional facts, sizes, brand, picture, and all other available information

  • If a product comes in multiple brands there needs to be separate sheets with individual brand 

  • There are multiple specification sheets for the same, or similar product, those sheets are assigned to a different product code (Hcode)

  • Clients need to access specification sheets efficiently

Discovery Phase:

Comparative & Competitive Analysis 

Many related companies provide their specification sheets in an online database.

Heinz has a minimal approach to displaying information.

Conagra has a more dynamic way of displaying information. Information takes less space on the page.

Analysis Phase:
User Profiles

Research discovered two user profiles

Below are the highlight insights:

  • All necessary information is in multiple places; the nutritional facts, sizes, brand, picture etc.

  • Information can take days to gather 

  • There are multiple specification sheets for the same, or similar product, those sheets are assigned to a different product code (Hcode) based on the price it was purchased for

  • Might need to request specification sheet information from the seller that the product was purchased from originally

Clients requesting specification sheet:

Below are the highlight insights:

  • Typically an institution such as a school, a prison, or a food bank

  • Requires specification sheet information to approve the purchase of a product 

  • Sometimes specification sheets are requested when the bid is submitted. 

  • Other times specification sheets are requested when the bid is approved.

 

  • Not always tech-savvy 

Analysis Phase: 
Feature Prioritization

Based on the research this feature needs to be simple and easy to use for both user profiles

Below are the main features:

  • A search bar to locate specification sheets by the name of the product and Hcode

  • Preview list of items on the search page

  • Specification sheet page

  • Images of physical product on spec sheet 

 

  • Details of product information and nutritional facts on spec sheet

Design for Discovery:

A search bar to easily discover the product one is looking for.

All necessary information is provided in a clean and simple design.

Design for Representation:

Photographing the product in each brand label that it is represented in. Then photoshopping the image to put a clean image of the can on the specification sheets.
